If we emailed you

If we emailed you about our work and you had not contacted us first, this notice is for you. It explains what we hold about you, where we got it, why we use it, how long we keep it and how to stop it.

Last updated 13 October 2026.

Who we are

Governance AI Ltd ("we", "us", "our") is the data controller for the personal data described in this notice. We are a company registered in England and Wales, company number 16359543. Our registered office is Ashwood Marina, Ashwood Lower Lane, Kingswinford, DY6 0AQ. Governance AI is part of The Governance Forum Limited, company number 06881402. You can reach us about anything in this notice at info@governanceai.io.

Who this notice is for

This notice is for people we have emailed about our work who had not contacted us first. They are senior people at UK organisations, such as chief executives and finance or operations directors. We write to them at their work address, about their organisation.

What we hold about you

  • Your name, job title, employer and work email address.
  • Your employer's website, and public facts about your employer, for example its size or sector from an official register.
  • A record of the emails we sent you and any reply.
  • If you asked us to stop, a note of that.

We do not hold or look for sensitive personal information about you.

Where we got it

We got your details from:

  • a business contact database (Apollo.io);
  • official public registers: the Charity Commission for England and Wales, the Scottish Charity Regulator, the Regulator of Social Housing and the Department for Education's "Get information about schools" service;
  • your organisation's own website.

Why we use it, and our lawful basis

We use your details to write to you about AI governance, and about AI services for organisations, where we think it is relevant to your role.

Our lawful basis is our legitimate interests (UK GDPR Article 6(1)(f)) in telling senior leaders of organisations about services relevant to their work. We have weighed that against your interests. We use only business contact details. We write only about your organisation's business. We send a small number of emails. We stop the moment you ask.

Who else handles it

We use service providers who work on our instructions:

  • the business contact database;
  • email address checking services;
  • the platform that sends our emails;
  • our email and document provider;
  • our customer records system;
  • our website and application host;
  • AI tools that read organisations' public websites and help prepare our emails.

We do not sell your details. We do not pass them to anyone for their own marketing. We do not use automated decision-making that has a legal or similarly significant effect on you.

Where a provider processes data outside the UK, we rely on a lawful transfer mechanism recognised under UK data protection law, such as UK adequacy regulations or the International Data Transfer Agreement (or the UK Addendum to the EU Standard Contractual Clauses), together with appropriate safeguards. You can ask us for more detail about the transfers relevant to you.

How long we keep it

  • If you do not reply, we delete your contact details within 12 months of our last email to you.
  • If you reply, we keep the correspondence for as long as we are in touch, and for up to 24 months afterwards.
  • If you ask us to stop, we keep only your email address and your organisation's name on a do-not-contact list. We keep these so that we do not write to you again.

How to stop the emails

Reply "no thanks" to any email, or write to info@governanceai.io. We will not email you again. You do not need to give a reason.

Your rights

You have the right to:

  • object to our using your details (for direct marketing, we must always honour this);
  • see what we hold about you;
  • have it corrected or deleted;
  • have its use restricted.

To use any of these rights, email us at info@governanceai.io. We will reply within one month.

How to complain

We would prefer the chance to put things right, so please contact us first at info@governanceai.io. You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection, at ico.org.uk or by calling its helpline on 0303 123 1113.
